Pratap Partnership (we/our) is a recruitment business which provides work-finding services to its candidates, and candidate-finding services to its clients (our Services). Pratap Partnership must process personal data (including sensitive personal data) so that it can provide these services. Your privacy is important to us; this Privacy and GDPR Policy explains the personal data Pratap Partnership processes, how we process it, and for what purposes.

1. Who this policy applies too

This policy applies to you whether you are a candidate for one of our clients, an individual we are assessing as an employee of one of our clients, a client or potential client, and a source or a referee in respect to providing information or intelligence about a candidate or client.

Additionally, this policy will apply to you if you attend one of our events or have subscribed to receive information about our Services or any of our marketing materials.

2. How we collect Personal Data

You may give your personal details to Pratap Partnership directly, such as by communication with our staff members; on an application or registration form or via our website; our website cookies; or we may collect them from third-party databases and other public sources, such as: job boards, LinkedIn, company websites, former employer or employees, and referees.

We will only use your personal data in accordance with this Privacy & GDPR Policy. At all times we will comply with current data protection laws.

3. Use of Personal Data in our Services

For candidates: Pratap Partnership processes your personal data (which may include sensitive personal data) for the purposes of providing you with work-finding services and/or information relating to roles relevant to you. This includes for example, contacting you about job opportunities, assessing your suitability for those opportunities, updating our databases, putting you forward for job opportunities, arranging payments to you, and developing and managing our services and relationship with you and our clients.

For clients: Pratap Partnership processes your personal data for the purposes of providing you with candidate-finding services or other services, and other legitimate business purposes such as providing information relating to our services relevant to you. This includes for example, contacting you about relevant candidates, updating our databases, sending invoices to you, and developing and managing our services and relationship with you and our candidates.

Source and Referee: We will use source and referee data to perform our Services, in particular, to enable us to obtain your opinions on a candidate. We may also use this information to enable us to market our Services to you as a potential client. We may as well invite you to become a candidate in respect of the provision of our Services.

If you have opted-in, we may also send you marketing information and news via email and/or text.  You can opt-out from receiving these at any time by replying to the email when you receive these communications from us.

In some cases, we may be required to use your data for the purpose of investigating, reporting and detecting crime and also to comply with laws that apply to us. We may also use your information during the course of internal audits to demonstrate our compliance with certain industry standards.

4. Categories of data

In all cases, we collect and process personal data about you, including your name, address, telephone number and email address.

Candidate: If you proceed with a job application, or should we consult you about a role, you may be required to submit a CV and additional personal data, such as professional qualifications, employment history and date of birth.

Based on your explicit consent, we will also process any relevant psychometric assessments, psychological tests, or results from such assessments or tests.

From time to time, we may ask you to provide sensitive personal data. We do this to facilitate the recruitment process, for equal opportunity monitoring purposes and to comply with legal and regulatory obligations.

We might also collect personal data from third-party databases and other public sources.

Client: We may collect personal data, information about your role, and other information provided to us by your organisation. We might also collect personal data from third-party databases and other public sources.

We may obtain this information directly from you or publicly available information.

Source and Referee: As well as basic contact information we will also collect information regarding your credentials as a source, details of your relationship/knowledge of a candidate and your opinions of that individual. We may obtain this information directly from you or publicly available information.

5. Recipient/s of data

Pratap Partnership may process your personal data and/or sensitive personal data with the following recipients:

  • Clients (whom we may introduce or supply candidates to).
  • Former employers whom we may seek references from.
  • Payroll service providers who manage payroll on our behalf or other payment intermediaries whom we may introduce you to.
  • Other recruitment agencies in the supply chain.
  • Service providers of our business, for example, our database provider.
  • In the event of Pratap Partnership’s business being sold or integrated with another business, your details may be disclosed to our advisers and any prospective purchasers and their advisers and will be passed on to the new owners of the business.

6. Our Legal Basis for Processing Personal Data

We must have a legal basis to process your personal data. The legal bases we rely upon to offer our work-finding services to you are:

  • Where we have a legitimate interest
  • To comply with a legal obligation that we have
  • To fulfil a contractual obligation that we have with you

7. Data Security

We invest significant resources to protect your personal data, from loss, misuse, unauthorised access, modification or disclosure. However, no system can be 100% secure, and so we cannot be held responsible for unauthorised or unintended access that is beyond our reasonable control.

We keep your personal data for as long as required to provide our Services, and in accordance with legal, tax and accounting requirements. Where your personal data is no longer required, we will ensure it is disposed of in a secure manner. Where required by law, we will notify you when this has happened.
